Your Privacy Matters
Tāpoi Travel Limited ("Tāpoi", "we", "us") designs bespoke journeys through New Zealand and Australia.
To do that well, we need to know a few things about you, and we take care of that information the same way we take care of everything else in your trip: carefully, and only for the purpose you gave it to us.
This policy explains what we collect, how we use it, who we share it with, and the choices you have. It applies to our website, our Tāpoi Traveller Form, and every booking we manage on your behalf.
What we collect
We collect the information you give us directly, most commonly through the Tāpoi Traveller Form, an enquiry, or correspondence with our team. Depending on your trip, this can include:
• your name and contact details;
• travel dates, preferences and the details of your itinerary;
• passport, visa or travel document details needed for bookings;
• dietary requirements, accessibility needs and emergency contact details; and
• payment information, handled through a secure payment platform or banking institution.
We also collect basic information about how people use our website, described under Cookies and Website Analytics below.
How we use it
We use your information to design and price your itinerary, make and confirm bookings on your behalf, communicate with you before, during and after your trip, and meet our own accounting and legal record-keeping obligations.
If you get in touch with us, whether that’s an enquiry or the start of planning your trip, we’ll add you to our newsletter database so you hear from us as things take shape. You can unsubscribe at any time using the link in any email we send, or by telling us directly.
Sharing your information with our vendors and partners
Delivering a bespoke trip means working closely with the accommodation providers, guides, transport operators and other vendors who host you in New Zealand and Australia. We share the information each vendor needs to do that, and only that information, with the vendors directly involved in your programme.
Outside of this, we do not share your information with third parties without your consent.
Your Traveller Profile
Once your booking is confirmed, we send you a secure Traveller Profile link to complete and return. It gathers the detail that lets us personalise your journey: preferences, dietary and accessibility needs, emergency contacts and any document details your vendors will need.
Your Traveller Profile is kept confidential and shared only with the third-party vendors directly involved in delivering your programme.
How long we keep your information
We keep your travel information for as long as our relationship continues, including if you travel with us again in future. Financial and accounting records are kept for at least seven years, as required under New Zealand law. Once information is no longer needed for these purposes, we securely delete it.
Your rights
You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it's wrong. To do either, please contact us using the details below.
Cookies and website analytics
Our website uses cookies and similar tools, including Google Tag Manager, to understand how visitors use the site and to improve it. You can control or disable cookies through your browser settings; some parts of the site may not work as well if you do.
Governing law
This policy is governed by New Zealand law, including the Privacy Act 2020.
Changes to this policy
We may update this policy from time to time. The current version is always the one published on this page, dated below.
